Two Different Kinds of Information

Because of the work we do, we handle information in two distinct roles, and it is worth separating them up front.

  • Information about you as a website visitor, prospect, or customer. We decide how and why this information is used, and this Privacy Policy governs it.
  • Information we access inside a client’s own accounts and systems while performing SEO, advertising, or web development work. We handle that information on the client’s instructions, under our services agreement, and it is described in Sections 9 and 10.

This policy does not govern the privacy practices of our clients’ own websites, even where we built, hosted, optimized, or maintain them. Each client is responsible for the privacy policy published on its own site.

Information We Collect

The information we collect depends on how you interact with our website and our team.

Information You Provide to Us

When you request a consultation, ask for an SEO audit, subscribe to updates, purchase a service, or contact our Portland office, we may collect:

Submitting a consultation request, audit request, or contact form does not enroll you in a marketing text message program. Any promotional SMS consent is collected separately, as described in Section 5.

Audit findings, proposals, and research we prepare for you are our work product. We may retain a copy for our records and may use anonymized, non-identifying observations to improve our methodology.

SMS Messaging and Mobile Information

Portland SEO Collective uses SMS text messaging for business communications. Messages are transmitted through a licensed communications platform provider, Twilio Inc., which processes message content and delivery data solely to send messages on our behalf.

How Consent Is Obtained

You may opt in to receive text messages from us by checking a clearly labeled consent box on a form on our website, by providing written or verbal consent to a member of our team, or by sending a text message to a Portland SEO Collective business number. Authorized personnel opt in to internal lead notifications by enrolling a designated business or mobile number.

Consent to receive text messages is not a condition of purchasing any product or service from Portland SEO Collective. Providing a telephone number on a general contact or consultation form does not, by itself, constitute consent to receive automated marketing text messages.

Reply STOP to opt out

After you reply STOP, we will send one confirmation message and then stop sending messages under that program. Opting out of text messages does not remove you from email communications or prevent us from contacting you by other means about an active project or transaction.

Mobile Information & SMS Consent

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted.

All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Portland SEO Collective does not sell, rent, trade, or otherwise transfer mobile telephone numbers, SMS opt-in records, or text messaging consent information to any third party or affiliate for that party’s own marketing or promotional purposes, under any circumstances.

This restriction does not prevent us from using service providers that process information only as necessary to deliver messages or support our operations on our behalf. For example, our SMS platform provider processes a mobile number in order to transmit an authorized message. That processing does not authorize the provider to use your mobile information or messaging consent for its own marketing purposes.

Telephone Calls and Voicemail

When you call Portland SEO Collective at (907) 202-0043, or when we return your call, we may retain the telephone number used, the date and time of the call, its duration, and any voicemail you leave.

Our business telephone service is delivered through a cloud communications provider. That provider processes call routing and connection data in order to complete the call.

Where a call is recorded or transcribed, we will disclose that at the start of the call, and you may ask us not to record. We use call information to return inquiries, maintain accurate customer records, and improve service quality.

Our published business hours are Monday through Friday, 9:00 a.m. to 6:00 p.m. Pacific Time. Messages received outside those hours are generally returned on the next business day.

Payment Processing

Payments are processed by third-party payment processors. Full payment card numbers are submitted directly to the processor and are not stored on our servers. We generally receive only confirmation of payment along with limited details such as the card brand, the last four digits, and the billing name and address.

Accounts

If you create an account on our website, we store your account details, order history, and saved preferences so you can review past purchases and manage active services. You are responsible for keeping your account password confidential.

How We Handle Access

  • We request delegated or user-level access wherever the platform supports it, rather than shared passwords.
  • Access is limited to personnel and vetted contractors who need it to perform the engaged work.
  • Credentials are stored in access-controlled systems and are not transmitted in plain text where an alternative exists.
  • We ask clients to revoke our access when an engagement ends, and we will remove our own access on request.

Please do not send passwords, API keys, or other credentials by unencrypted email or text message. Ask us for a secure method instead.

Data We Process on Behalf of Clients

While performing SEO, advertising, analytics, or web development work, we may encounter personal information belonging to a client’s own customers — for example, form submissions, lead records, order data, review content, call logs, or analytics and conversion data inside the client’s platforms.

In that context we act on the client’s instructions. We use such information only to perform the services requested, we do not use it for our own marketing, and we do not sell it.

Where a client is subject to privacy laws that require a data processing agreement or similar terms, we are willing to enter into appropriate written terms.

If you are the customer of one of our clients and want to exercise privacy rights regarding your information, contact that business directly. We will support our client in responding to your request.
